Visit Definition

Overview

CheckPad uses visit definition to configure visits of study subjects according to the protocol. 

Visit definition defines the following:

  • Visit name
  • Type of visits (scheduled, periodically, ...)
  • Order of visits
  • Specifies CRFs to be filled in a visit and configures some factors of CRF in each visit

To view list of visit definition, from the build study screen choose "View" in the Create Visit Definition row.

  1. Search visit definition by name
  2. Display information for visit definition
  3. List of visit definition table along with information
  4. Action buttons to sort visit definition (decide the order of visit when collect data for study subject)
  5. Action buttons to interact with visit definition:

    3. Visit visit definition
    4. Recover removed visit definition

Create new visit definition

Access the page to create new visit definition

To create a new visit definition, from the task dialogue of Build Study, select Add on the Create Visit Definition row.

Create a new visit

CheckPad will display the following dialogue

which has the following fields:

Name of visit definition - name of visit when collecting study subject data

Maximum 2000 characters, must not match name of other created visits

Maximum 2000 characters

Select "Yes" or "No"
Type

Select from the following

  • Scheduled : Scheduled visit
  • Unscheduled : Unscheduled visit which may or may not happen (example: visits based on side effects)
  • Common : anticipated to happen but has not been scheduled
Category

Select "Continue" to add CRF into visit.

User can search and select CRFs to be added into visit definition by selecting the corresponding checkbox.

Choose 'Continue' to continue configuring CRFs in the visit

Configuring CRFs in visit definition

The configurations of a CRF in a visit contains:

  • Required: data entry is requied
  • Default version: Default version of each CRF in visit
  • Editing Restrictions: Specify who can edit the data in the CRFs (this option can be used to allow monitor to update data in some special forms) 

Confirm creation of visit definition

There are 3 options;

  • Confirm and Finish: Visit definition will be created and user will be redirect to the list of visit definition
  • Confirm and Create Another Definition: Visit definition will be created and user will be redirect to a dialogue to create another definition
  • Cancel: Visit definition will not be created and user will be redirect to the list of visit definition

Update visit definition

From the list of visits screen can update visit definition by selecting the update icon of the corresponding visit. 

The Update Visit Definition dialogue allows changing the information of the current visit

Aside from changing the visit information, user: 

  • Adds CRF into visit definition with  button
  • Remove CRFs with  button
  • Recover removed CRFs with 

After updating information, user selects 'Confirm' to continue

CheckPad will redirect the user to confirm dialogue, user selects "Confirm and Finish" to finish the process
