Manage CRFs
Overview
CRFs are design prototypes of visit CRFs used for data collect in visits. CRFs are managed by the system and can be reused among studies. CRFs on the system are built and edited via the CRF Builder with a drag and drop interface.
The following guide has the following contents:
List CRFs
CRF List lists all the CRFs and corresponding CRFs in the system
From the main menu, access Tasks > Manage Data > CRFs
List CRFs page consists of:
- Pagination
- Information Table for CRFs and CRF versions
- Action buttons with each CRF
- Access the Unit Dictionary page
- Access the Create A New CRF Page
Inside the action bar are action buttons to interact with CRF and CRF versions
- View CRFs
- Edit CRFs
- Create new CRF versions
- View CRF
- Edit CRF Version
- Store CRF
- Delete CRF Version (does not allow deletion of CRF Version in use)
Inside the CheckPad system, a CRF includes the data of that CRF and corresponding CRF Version

The data fields of a CRF

Create new CRF
From the page, click List CRF > Create A New CRF
Fill in basic information of CRF Form then creating 'Next' to create a new CRF
The fields need to comply to the conditions of a CRF with an unique CRF name.
In the event of an error, the system notifies the user of the error so the user can correct the error.
Edit CRF
To edit a CRF, select 'Edit CRF' from CRF List.
Proceeds to update the data fields according to the requirements of a CRF.
In the event of an error, the system notifies the user of the error so the user can correct the error.
Other notes
Cannot delete a CRF or change the OID of a created CRF
Managing CRF Versions
A CRF has at least one usable CRF Version.
Creating different versions of a CRF has the following benefits:
- Update changes to CRFs as the study is being conducted
- Create different versions for specific scenarios, for example changing the CRF version according to gender or age
- Checkpad provides tools to change the CRF version of the data of all existing subjects
Creating different versions of a CRF also has limitations:
- The structure of a CRF becomes more complicated
- Creating and using versions needs to follow certain rules to maintain the coherence among versions
- Reusing sections on multiple CRF versions
- Reusing groups on multiple CRF versions
- Reusing items on multiple CRF versions
- Changing the CRF version of exisitng data still has certain limitations

Create new CRF Version
After accessing the "Create new CRF version" option, the "Create new CRF Version" screen will appear.
Within the Create new CRF interface, other than data fields of CRF such as Version name, Description, Revision Note, there is also a data field called "Clone From".
The "Clone From" data field is used to reuse the entire structure of created CRF Version (including all the children of previous CRF Version). This field appears as a select box which lists all created versions of the CRF being cloned.
After finishing filling out all the information for CRF Version, press next to access the "CRF Version Builder" interface and begin creating components of the CRF Version.
In the event of errors caused by incorrect input of data within a CRF Version, the system will alert the corresponding error to the user for correction to proceed with next steps.
Update CRF Version
Update CRF Version from CRF Version List Dialogue
From the "CRF List" screen select the edit icon with the CRF Version being updated.
Update CRF Version from the View CRF Dialogue
From the "View CRF" screen select the version to update.
CRF Version Builder
CRF Version Builder allows changes and modifications to the detailed information of CRF Version including:
- Data Fields of CRF Version Builder → CRF Version Editor
- Children of CRF Version

Deleting CRF Version
CheckPad does not allow deletion of CRF versions being used in Visit CRFs. To delete unused CRF versions;
Access the CRF List interface press the "Remove" icon of the corresponding CRF version.
After pressing "Remove", Checkpad will redirect user to the confirmation page.
If the CRF is unused, user can select "Delete CRF Version" to confirm deletion. Otherwise:
If the CRF is being used, CheckPad will notify the users and show Visit CRFs currently using the CRF Version in question. The "Delete CRF Version" button will not be available.
